Job Description:

While maintaining a positive and friendly attitude, provide administrative and secretarial support to Assistant Director of Office Operations.


  • Regular hours entail 9:00am - 5:00pm, Monday - Friday
  • Must be flexible to meet program needs


  • Provide administrative support to the VP of NYC Operations & Community Relations and Programs and Assistant Director of Office Operations
  • Keep files up to date with all OFCS, ORR regulations
  • Perform a variety of administrative or executive support tasks that are highly confidential and sensitive.
  • Supervise team of filers
  • Maintain and coordinate filers’ schedules
  • Provide clerical support using Microsoft Office including Word, Excel, PowerPoint, and Gmail applications and format documents
  • Maintain and track all necessary supplies for file room
  • Liaison with agency office managers and program secretaries regarding building issues/concerns. Apprising VP of NYC Operations & Community Relations of significant issues
  • Serve on committees as designated by the VP of NYC Operations & Community Relations and COO of NYC Programs

Experience and Skills:

  • Bachelor’s degree preferred, associate’s degree required
  • Experience working in a fast-paced, dynamic environment
  • Ability to be a proactive communicator
  • Strong skills in Microsoft Office applications
  • Ability to manage a large staff
  • Ability to work well with people from many cultures including recent immigrants, non-English speakers, and LGBTQ children
  • Bi-lingual - English-Spanish required. All agency documents and records are in English, so English writing proficiency required. Position itself requires Spanish speaking, writing, and reading proficiency
  • Valid NYS Driver’s License preferred
  • Ability to travel to all agency locations


  • Word processing: Including responding to e-mails, composing letters, completing computerized documentation, transcribing minutes for meetings, etc.: This involves sitting at a computer for several hours a day
  • Completing paperwork -Such as copying and stapling
  • Must be able to lift up to 50 pounds
  • Stand for several hours to teach/train foster parents
  • Sit/ride in vehicles, busses, subways, trains, planes - public transportation for lengthy periods of time
  • Walk up/down stairs
  • Walk to enter/exit subway and other public transportation
  • Walk several blocks to get to required location
