Job Description:

SUMMARY OF RESPONSIBILITIES:Manage and coordinate movements of Unaccompanied Children and the staff responsible for those movements, both in the immediate geographic location and across the United States Friday - Tuesday, by deploying and supervising case aides and bus drivers to support program services. This candidate will also function as weekend on-call and coordinate program intakes during weekends.

FUNCTIONS:

  • Maintain constant communication with AVP of Logistical Support on any changes of agency requests for support for the same day, next day or any upcoming schedules;
    • Make sure to document any future or on going agency request for support on both (AVP of Logistical Support and Director’s calendars) for future scheduling of Support Services Team;
    • Assure daily schedules for the entire team are completed and sent out to the team by the end of business day.
    • Investigate ticket/vehicle infractions;
      • AVP of Logistical Support will forward, ticket/vehicle infractions to Director of Case Aides and Bus Drivers and Director of YTS for investigation. Within the next 24hrs of receipt , will investigate ticket and once investigation is completed and will forward findings to AVP for further follow up.
      • Conduct periodic field audits of the following:
        • All DVR (Driver Vehicle Inspection) forms
        • Process, disseminate and coordinate all intake information in daily intake email to YSSD team.
        • Properly inspect all newly purchased agency vehicles
        • Research proper maintenance for all agency vehicles
        • Properly maintain the upkeep of agency parking lot
        • Monitor all receipts and assure proper processing by team;
          • Locate all missing receipts as needed by our admin department.
          • Ensure all agency funds are properly managed such as credit cards, petty cash
          • Assure smooth coordination of Catholic Charities requests along with Catholic Charities lead:
            • Communicate with AVP on any CC requests and list/number of UC’s attending CC
            • When CC request is received from CM department, and depending where it will be scheduled (H2 or 80 Maiden) Lead will plan and email all team members attending this run. Always CC’ing AVP and Director of YTS. Should lead not be available, will schedule CC trip accordingly.

This will include:

  • Completing Catholic Charities Transport Plan (vehicle assignment)
  • Completing Transport Email to send to the entire team including (CM’s AD’s and Support Services Staff)
  • Assure smooth coordination of all medical runs with our Medical Department by completing the following:
    • Maintain constant communication with our Medical Department on:
      • Final list of UC’s attending medical and;
      • Assure written confirmation from Medical Department is received on approval of all TARS before scheduling runs.
      • Assure youth transportation specialists assigned to conduct run receives list of all UC’s attending and their location in our Harlem offices.
      • Schedule and conduct interviews with AVP for all case aide and bus driver candidates
      • Conduct bi-monthly written supervision of all case aides and bus drivers.
      • Supervise and review vehicle maintenance process and reports;
        • Schedules vehicles for inspection on any incoming recall notices;
        • Assure completion of Vehicle Maintenance Checklist (VMC) every other week as scheduled on our outlook calendar for all vehicles currently under our responsibility which includes and not limited to:
          • Car wash;
          • Vacuums;
          • Oil Changes;
          • Assure Vehicle equipment is completed as per our Vehicle Equipment Checklist.
      • Assure completion of Vehicle Inspection Checklist (VIC) every 15th of the month as scheduled on our Google calendar for all vehicles currently under our responsibility;
      • Complete and maintain up to date Vehicle Upkeep Spreadsheet which includes:
        • Dates when Vehicle Maintenance Checklist was last completed;
        • Dates when Vehicle Inspection Checklist was last completed;
        • Dates of last car wash;
        • Dates of last vehicle vacuum;
        • Dates of last Oil Changes;
        • After each VMC and VIC are completed, email AVP with a list of supplies needed via email for each vehicle and assure each vehicle is loaded and equipped for the next VMC or VIC.
        • Manager will assist in other areas as needed.
          • Provide support to all programs, and executive staff as needed
          • Attend required training.
          • Read required books.
  • Responsible for complying with rules and regulations governing access to Protected Health Information under HIPAA. Access to Protected Health Information is limited to the extent required to perform responsibilities effectively and efficiently. No access will be permitted unnecessarily. These essential job functions dictate the level of access, use, and disclosure of confidential information.
  • Perform other duties as requested by your immediate supervisor or the Chief Executive Officer.

Experience and Skills:

  • Associate’s degree preferred; high school diploma required
  • Minimum one year of experience effectively leading a team.
  • Experience working in a fast-paced, dynamic environment.
  • Ability to be a proactive communicator.
  • Strong skills in Microsoft Office including Word, Excel, PowerPoint, and Outlook applications.
  • Ability to manage a large staff.
  • Ability to handle confidential material in a responsible manner.
  • Ability to work well with people from many cultures including recent immigrants, non-English speakers, and LGBTQ children.
  • Bi-lingual - English-Spanish required. All agency documents and records are in English, so English writing proficiency required. Position itself requires Spanish speaking, writing, and reading proficiency.
  • Valid NYS Driver’s License.
  • Vehicle required: Must be safe and dependable.
  • Ability to travel to other agency locations as required.

PHYSICAL REQUIREMENTS:

  • Ability to perform bending, lifting, prolonged sitting/standing
  • Ability to lift a minimum of 60 lbs
  • Word processing: including responding to e-mails, composing letters, completing computerized documentation, etc.: This involves sitting at a computer for several hours a day
  • Ability to handle various modes of transportation- Handle air travel- including turbulent flying
  • Completing paperwork -Such as copying, stapling as needed
  • Sit in and/or drive a vehicle up to several hours as needed for transportation
  • Sit/ride in vehicles, busses, subways, trains, planes - public transportation for lengthy periods of time
  • Walk up/down stairs as needed
  • Walk to enter/exit subway and other public transportation as needed
  • Walk several blocks to get to required location

HOURS PER WEEK: Exempt.

  • Must have the availability to work a flexible schedule, standard schedule F - M, 10 hour days.
  • Long days, may involve travel or overnight stays for UC reunifications.
  • Must be flexible to meet program needs.
  • Must be available to work afternoons, evenings and weekends.
