Job Description:

SUMMARY OF RESPONSIBILITIES: Supports Human Resources department with the daily administrative operations of the Human Resources Office. The Human Resources Assistant will act as support for the Human Resources Office, manage/track confidential employee data and coordinate or complete employee requests while providing excellent customer service


  • Enter personnel information into HRIS. Utilize HRIS applications to electronically track all HR data
  • Assist in biweekly payroll preparation by entering payroll data
  • Assist in agency recruiting process, including but not limited to posting job openings, updating ads and tracking job postings
  • Track applications
  • Forward resumes to supervisors, as needed
  • Receive and answer candidate calls and candidate correspondence during the hiring process
  • Assist new hires with onboarding and completion of new hire paperwork
  • Assist with online investigation and employee background checks
  • Coordinate employee orientation process with HR staff and supervisors, which includes but is not limited to scheduling fingerprints, physicals, TB tests and working with Agency Trainers to create training schedule
  • Assist with benefit enrollments
  • Notify staff of ineligible FSA payment due dates
  • Coordinate with the Maintenance Department in key distribution
  • Coordinate creation of ID Badges for all incoming and transferring staff
  • Assist HR Director in coordinating meetings with staff
  • Receive and date-stamp incoming mail and deliver to proper HR Staff
  • Maintain physical and TB database
  • Keep inventory of and order supplies such as ID badges, forms, lanyards, cell phone equipment
  • Order business cards and name plates
  • Communicate with supervisors in a positive manner to ensure deadlines are met
  • Assist in the Residential Union bidding system
  • Create and distribute monthly anniversary letters
  • Distribute monthly birthday cards
  • File all HR related documents, purging terminated employee files as needed
  • Assist Chief Financial Officer with administrative tasks as needed
  • Responsible for maintaining the privacy and confidentiality of Protected Health Information of service recipients in any form (e.g., computer access, conversation, document) during and surviving the termination, expiration or cancellation of employment/association with CHC.
  • Perform other duties as requested by your immediate supervisor or the President/Chief Executive Officer

Experience and Skills:

  • Associates Degree in Business Administration w/ concentration in Human Resources or related degree required; Bachelor’s Degree preferred
  • At least one year experience working in a Human Resource Office with knowledge of New York State Employment Labor Laws strongly preferred
  • Valid NYS Driver’s License
  • Highly skilled in MS Office and web-based HRIS systems. Working knowledge of Paylocity and ATS programs is preferred.
  • Excellent organizational skills. Must be able to complete tasks independently and with high attention to detail

  • Excellent communication and customer service skills and ability to work in a flexible team context.
  • Ability to handle confidential material in a responsible manner
  • Ability to travel to other agency locations as required
